The Charity 

Founded in 2015, Breaking Barriers is a fast-paced, start-up charity with a mission to help refugees in London gain the knowledge, confidence and experience to secure stable and fulfilling employment in their new home.  

We offer effective and flexible employment support in direct partnership with businesses that help refugees secure work, progress into better jobs, and successfully integrate into UK society. We have a unique approach, working with corporate partners to help refugees develop careers that match their skills, experience and aspirations.  

Since Breaking Barriers’ inception just four years ago, we have grown to support in excess of 500 refugees per year and have ambitious plans to expand this as part of our strategic plan. We concentrate on getting things done in a flexible environment where everyone is encouraged to take ownership and contribute.

Catalyst – supporting integration across the capital 

Breaking Barriers successfully applied to the Asylum, Migration and Integration Fund (AMIF) to support the ‘Catalyst’ project which offers employment and training support to Third Country National (TCN) clients in London.  

Catalyst will support 600 TCN clients over three years, providing bespoke employment support, English language and IT training as well as access to skills-based workshops in collaboration with our corporate partners. 

The project will also include a skills audit and data analysis for development of a National Best Practice guide in employment support for TCN clients as well as regular stakeholder events to share knowledge and learning with the private, public and third sector. 

Overall Purpose of the Role 

We are looking for a Project Administrator to join our team to help us deliver our new Catalyst project. Funded by the Asylum Migration and Integration Fund, this three-year project will create opportunities for 600 Third Country Nationals (TCNs) to successfully integrate in London through bespoke employment support and training. 

ThCatalyst Project Administrator will support the Project Manager in the effective and efficient running of the project. The Project Administrator will have responsibility for coordinating communications with project staff and ensuring the distribution of reporting requirements as well as the collation of documents to support reporting. The role will support the project team to understand and adhere to the reporting and compliance requirements of the AMIF funding and conditions of the grant agreement.  

The successful candidate will be highly-organised with meticulous attention to detail as well as excellent written and verbal communication. This role will combine administration and coordination of multiple project staff so the ability to work well with a variety of stakeholders is essential. The role will work to strict reporting requirements so the successful candidate must show excellent prioritisation skills and the ability to remain calm under pressure. 

The role will be involved with the creation of publicity materials and be responsible for organising project related meetings as well as taking minutes.  

This role will report into the Project Manager, working closely with colleagues from across the project, senior staff within the organisation and support teams.

Key Responsibilities 

Breaking Barriers is a data driven charity, which puts M&E at the core of our delivery and considers data evidence as the foundation of responsible decision making. Your role involves: 

  • Create and maintain effective and efficient administrative processes for the Catalyst Project. 
  • Collect and collate documentary evidence for reporting from project staff. 
  • Provide administrative support to the Project Manager. 
  • Organise meetings and take minutes. 
  • Ensure data capturing is carried out correctly by project staff through training and clear communication. 
  • Answer project related queries via telephone and email. 
  • Assist in the delivery of all reporting requirements to agreed timelines. 
  • Arrange all monitoring and performance reviews and meetings. 
  • Arrange project visits and post-project evaluation activities. 
  • Coordinate correct training to ensure compliance under EU funding. 
  • Build and develop cross-organisational relationships to facilitate project success. 
  • Undertake any other duties that may reasonably be required within the scope of this role. 

Person Specification

  • Excellent IT skills, including Microsoft Office suite. 
  • Excellent communication skills, both oral and written.  
  • A professional and solutions focused attitude. 
  • The ability to process complex information. 
  • Excellent interpersonal and communication skills and the ability to work effectively with a wide range of stakeholders. 
  • Meticulous attention to detail and the ability to input statistical and financial data accurately. 
  • The ability to prioritise work, meet deadlines and remain calm under pressure. 
  • Knowledge of Data Protection Act (DPA) 2018, and the EU General Data Protection Regulations (GDPR) 2018. 

Desirable

  • Experience of developing and maintaining administrative systems and the ability to identify administrative needs and develop appropriate systems to meet them 
  • Experience of administration work in a busy office environment 
  • Demonstrable knowledge and interest in the refugee sector 
  • A good working knowledge of the charitable sector
